Privacy Policy

Revo Proposal ("we," "us," or "our") operates revoproposal.com. This Privacy Policy explains what information we collect, how we use it, and your rights regarding that information.

1. Information We Collect

Account information: When you sign up, we collect your name, email address, and business details.

Proposal and client data: Proposal content, client names, emails, addresses, and signatures you create or collect through the Service.

Usage data: We log how proposals are opened, viewed, and engaged with — including time spent on sections — to provide analytics features to you.

Audio and photo data: Standard voice recordings are sent to OpenAI for transcription and are not saved as audio files in Revo Proposal. Live Walkthrough streams audio to Google Gemini for real-time assistance and returns transcripts and notes to the app. Photos uploaded to a proposal are stored in private file storage and may be sent to our AI providers for analysis. Photos may remain available with the proposal record. Before recording people or uploading images that identify them, obtain any notices or permissions required for your use.

Payment information: Billing is handled by Stripe. We do not store your full credit card number. Stripe's privacy policy governs payment data.

Device and log data: IP addresses, browser type, and access timestamps are logged for security and debugging purposes.

2. How We Use Your Information

• To provide, operate, and improve the Service
• To send transactional emails (proposal delivery, signature confirmations, follow-ups you initiate)
• To send account guidance and product updates, with an unsubscribe option in each marketing email
• To record marketing email unsubscribe requests and stop future marketing messages
• To provide you with analytics and engagement data on your proposals
• To detect and prevent fraud or abuse
• To comply with legal obligations
• To build anonymized, aggregated industry benchmarks (market area, building type, size, frequency, price, and outcome — never client names, street addresses, or your company identity)

We do not sell your data or your clients' data to third parties. Ever. Benchmarks are only ever shown as aggregates drawn from multiple companies, so your individual pricing is never identifiable.

3. Data Sharing

We share data only with the following categories of service providers, strictly to operate the Service:

• Supabase — database and file storage
• Clerk — authentication and account management
• Resend — transactional and marketing email delivery
• PostHog — product analytics events; session replay is disabled
• Anthropic — AI proposal generation and analysis
• OpenAI — audio transcription
• Google — address verification, image generation, and Live Walkthrough audio processing
• Stripe — payment processing
• Vercel — hosting and infrastructure

These providers process information as needed to provide their services to us. Their handling of information is also governed by the terms and privacy commitments that apply to our accounts with them.

4. Your Clients' Data

When you use Revo Proposal, you collect data from your clients (names, emails, signatures). You are the data controller for that information. We process it only on your behalf. You are responsible for having a lawful basis to collect and process your clients' data, and for honoring any requests they make regarding their personal information.

5. Data Retention

We retain your account data for as long as your account is active. If you close your account, we delete your data within 30 days, except where we are legally required to retain it. Proposal records and signatures may be retained longer if required for legal or audit purposes.

6. Security

We use industry-standard security measures including encrypted connections (HTTPS), row-level security on our database, and access controls on all stored files. No system is perfectly secure — if you believe your account has been compromised, contact us immediately.

7. Cookies

We use session cookies necessary to keep you logged in. PostHog uses browser storage for product analytics. Session replay is disabled, and we do not use advertising tracking.

8. Your Rights

You have the right to access, correct, export, or delete your personal data at any time. To exercise these rights, email us at hello@revoproposal.com. We'll respond within 30 days.

9. Children's Privacy

The Service is not directed to children under 18. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us with personal data, contact us and we will delete it.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We'll notify you by email or in-app notice at least 14 days before material changes take effect. The effective date at the top of this page reflects the most recent revision.
